Loading dock and goods lift windows, after-hours access clearance, security passes for the crew and insurance certificates, lodged with both the outgoing and incoming building. The outgoing building usually has the tighter rules and the shorter patience.

Why do office moves happen after hours?
Because downtime is the real cost. Moving on a Friday night or across a weekend means staff walk into a working office on Monday instead of losing a day or two of productivity. It also fits building rules: many commercial buildings restrict goods lift and loading dock use during office hours precisely so tenant moves do not block them.
Will the movers handle our IT equipment?
They will physically handle it: powering down, unplugging, labelling, crating, transporting and setting it back on the correct desk. What they will not do is configure it. Servers, network equipment and telephony need your IT provider on site at the new premises to bring everything back up in the right order. Schedule that for the same window as the move, not for the following morning.
Should we back up before the move?
Yes, and verify the backup restores. Movers carry insurance on hardware, but no insurance replaces data. This is standard practice for any hardware relocation and it is not a reflection on the vendor.
What does building management need from us?
Usually a booked loading dock slot and goods lift window at both addresses, after-hours access clearance and security passes for the crew, the moving company's insurance certificate, and sometimes a refundable deposit against damage to common areas. Two buildings means two sets of paperwork on two different forms, and the outgoing building often has the tighter rules.
Can we dispose of old workstations at the same time?
Yes, and it is worth doing together. Offices almost always shed furniture in a move, since the new floor plan rarely matches the old one. Booking the disposal into the same window means one crew, one set of building bookings and no second after-hours access request. Confidential documents and data-bearing drives are the exception and need a certified destruction provider.
How far ahead should we plan an office move?
